Position Purpose

This position is responsible for the overall management of the Health Information Management Department. This includes one or more of the following areas listed below.

 

 

 

Nature and Scope

The incumbent will monitor department costs and overtime usage to insure budget compliance, will report deviations, and will assist in authoring action plans to correct budget variances. Incumbent will assist in planning departmental operating and capital budgets by monitoring functional areas to assess equipment and supply needs, staffing patterns, and potential new services to achieve uninterrupted, cost effective resource utilization. Participates in long-range planning for the department and the Medical Center by facilitating goals and strategic plans. Incumbent will audit time and attendance bi-weekly and monitor staff compliance within Renown Health policy.

 

Regularly schedules and holds meetings with Leads and functional area staff and drafts minutes to document proceedings. Mentors staff members and Leads to develop strengths and skills and enhance overall departmental performance. Completes employee evaluations and 90 and 180-day progress reports timely, offering developmental plans pertinent to the position and employee growth.

 

Maintenance of adequate staff is this position’s responsibility, including hiring new staff members, evaluating and counseling existing staff members, scheduling work hours and days, and termination of staff members when appropriate. Develops section Leads to insure an effective continuum of leadership and functions. Formulates goals, action plans, policies and procedures, and job descriptions related to operational process change and/or improvement. Implements new processes or process changes and monitors effectiveness of actions, providing feedback and modification, as indicated. Will provide all new employees an introductory orientation to the Health Information Department.

 

This position communicates routinely with department management staff as well as all departments within the hospital, patients, other hospitals, and physicians. The relationship with the Medical Staff is key to the delicate process of the suspension system. The HIM Supervisor displays a willingness to support the policies and procedures of the hospital and Health Information Management Department. This position serves as a role model for all coworkers by setting an example of high standards in dress, conduct, cooperation, and job performance.

 

There is regular communication with the Director and Manager of Health Information Management regarding any problems, issues, or concerns. Special reports, resolution of backlogs or problems, communication of process changes, and monitoring of performance.

 

Prepare monthly, quarterly, annual and other reports are required. Produce reports on productivity and other clinical related data for both internal and external reporting.

 

Maintain current knowledge of HIPAA and best practices regarding medical records.

Main resource for EHR applications and systems within HIM department.

Responsible for testing and rollout of new versions/upgrades and builds on EHR system to gain efficiencies.

 

HIM scanning responsibilities include:

Provides leadership and coordination for the process of implementing and running a document imaging operation. Applies structured operations management method to ensure customer expectations are met and deliverables are fulfilled. . Chart availability is a key responsibility for this position to insure continuing patient care and customer service for external contacts. Discharges must be accounted for on a daily basis; each discharge must be readied for timely coding. Lost or misplaced charts must immediately be located and accounted for. All loose work must also be matched with the appropriate patient file on a daily basis.

Accurately identify, file, and scan all medical information, correspondence, both internal and external to be scanned and filed respectively within 48 hours of receipt.

Knowledge of abstraction and scanning medical information procedures and closely oversee that of subordinates, auditing their work on a weekly basis.

Act as a subject matter expert for scanning of paper medical information into an EHR system including adhering to the proper scanning guidelines set forth in the scanning policy.

 

Direct the process for purging of medical records as needed.

 

Ensure that the medical record file room is kept in an orderly fashion that is compliant with hospital regulations.

 

HIM operation responsibilities include:

Manages daily activities of electronic health record (EHR) area of HIM department. Assures that the HIM analyst staff are expertly trained in electronic record processing and record completion procedures. Assures the timeliness and accuracy of all EHR functions performed. Each discharge must be analyzed for physician completion in accordance with The Joint Commission standards, federal and state regulations, and Medical Staff By-Laws.

 

Implement and coordinate the suspension system to ensure accurate and fair suspension of the medical/dental staff, and facilitating accurate and timely release of medical information within State and Federal guidelines. Responds to internal and external customer problems or concerns promptly and effectively.

 

Release of Information activities must be kept in accordance with HIPAA, state, federal, and hospital guidelines to ensure the security and confidentiality of all patient information. Incumbent will interact with the release of information vendor and have oversight of their performance within contractual guidelines.

 

Responsible for the operation functions and procedures for the birth certificates area. Plans and initiates effective birth certificate program activities and compiles required and special reports. Ensures accurate reporting and filing for birth certificates. Monitors and performs quality review of birth certificates.

 

Provides education and training to physicians and clinical staff on ongoing basis for electronic record access.

 

Monitors and works on reducing delinquent medical records.

 

Responsible for the operation functions and procedures for document correction. Design and implement documentation correction procedures for documents in wrong patient account. Track and provide feedback regarding document corrections.

 

Monitor, report, and reduce duplicate medical records.

 

 

HIM South Meadows and Post-Acute Care Supervisor

 

Responsible for all HIM operations at the South Meadows and post-acute care facilities. Manages daily activities of electronic health record (EHR) area of HIM department. Subject matter expert for post-acute care record documentation requirements. Ensures compliance with facility, state, and federal requirements for medical records.

 

Assures that the HIM analyst staff are expertly trained in record processing and record completion procedures. Assures the timeliness and accuracy of all functions performed. Each discharge must be analyzed for physician completion in accordance with The Joint Commission standards, federal and state regulations, and Medical Staff By-Laws.

Education:

Must have working-level knowledge of the English language, including reading, writing and speaking English. AA degree in Health Information Management or other related field. Experience may substitute for degree.

Experience:

Previous supervisory or lead experience preferred. Three years’ experience in related field required; knowledge of and experience utilizing internal practice management and electronic record software to store and retrieve data in various formats regarding medical information processes and procedures

Registered Health Information Technician or Registered Health Information Management preferred

Computer / Typing:
